Platform / CaseHQ CMS

The daily workspace for the client journey

CaseHQ Client Management System is the third product in the SimplyConvert platform, and the one your team lives in day to day. Every case that comes in through Intake and CaseHQ Portal lands here as structured data your firm can filter, automate, and act on while clients stay informed.

How CaseHQ Client Management System works

  1. 01

    Every case is structured data

A case is a set of real fields with types, not a folder of PDFs with a sticky note on top. Dates are dates, amounts are numbers, and statuses are shared across the firm.

  2. 02

    The system reacts to changes

Automations watch for status flips and field changes, then update the case, create tasks, and send the follow-up. Nobody has to remember, and nothing sits in a pile waiting for Monday.

  3. 03

Every change is on the record

Field edits, status moves, and automation runs are all recorded automatically: who did it, what it was before, and when. The case answers for itself.

Your whole docket in one table

The case inventory shows every matter your firm is handling, filterable by status, litigation, assigned staff, or any custom field. Save the views you use every day, like signed talc cases with no medical records requested.

Open a case and everything about it is in one workspace: intake transcript, fields, people, tasks, documents, and the audit trail. No tabs into other systems.

The right fields for each case, without a rigid case type

Lists are named sets of fields, like Talc Litigation or Settlement. Add a case to a list and it picks up exactly the data that phase needs, alongside whatever it already carries. A case can sit on several lists at once, so a mass tort matter can be part of a litigation and part of your settlement process without forcing one type onto it.

Custom fields are typed: dates, numbers, currency, dropdowns, checkboxes, text, and references to people or organizations. Every field becomes a column you can filter, a condition an automation can watch, and a fact Ask SC can answer questions about. Firms that capture that data from Intake onward spend a filter and a download at settlement, not weeks re-reading files.

Every person and organization, on the record

Clients, opposing counsel, adjusters, and treating physicians are records with roles on cases, not names retyped into a notes field. The same person can be the client on one case and a witness on another.

Update a phone number or an adjuster's email once, and every case that person touches is current. Across a few hundred cases in the same litigation, that turns "which of our clients treated at this facility" into a filter instead of a research project.

Work moves itself

Automations are the phases a case moves through. When a client signs, send the welcome packet. When records arrive, notify the attorney. Workflows run the moment the case changes, every time, without being asked, and every run is logged on the case's activity feed.

People on the steps that need judgment

Automation handles the predictable. Tasks handle the rest: the demand letter that needs a lawyer's eyes, the client call that needs a human voice. Each task has an owner, a due date, and the case attached, created by hand or by a workflow.

A task opens straight into its case, with fields, contacts, and history right there. When a case manager is out sick, their open tasks are visible and reassignable instead of stuck in someone's head.

Know who changed what, and when

Every case keeps a complete record of its own history. Field changes, status moves, documents signed, automation runs. Each entry shows who did it, what the value was before, and the exact time, with no "remember to log it" step.

That is what makes hands-off automation safe to trust: every automated change is inspectable after the fact. When a client asks why they got a text, the answer is a timestamp, not a meeting.
